Terms and Conditions


Confirmation

Confirmation of a booking by the client must be made within seven days of a tentative booking. The signed booking form agreeing to these terms and conditions and the required deposit amount must be returned to our office within this time to secure tentative booking dates. Without the deposit and booking form Sherbrooke Lodge reserves the right to cancel the booking and allocate the date to someone else.


Deposit

- A non-refundable deposit of $1000.00 is required for bookings exceeding 50 guests.

- A non-refundable deposit of $500.00 is required for bookings under 50 guests.

Deposits can be made by cash, cheque or credit card.


Instalment Payment

Instalment payment is required two months prior to the wedding date.  You will be sent an invoice requesting a further 25% of the final account.


Final Payment

Final payment is required one week prior to the wedding. A proforma will be issued after the final meeting. Final payment can be made by Cash or Bank Cheque only - Credit card is available however a 5% surcharge applies.


Cancellation

In the event of a function cancelling the deposit paid will be forfeited.


Postponements

If a booking is postponed a fee of 50% of the held deposit is charged. A new date can be arranged under a new agreement.


Final Attendance

A guaranteed minimum number of guests are required two weeks prior to the function. The final account will be set at the confirmed numbers.


Timing and Duration

All wedding functions have exclusive use of the venue for a 5.5 hr evening functions and 4.5 hr for lunch functions. Bar facilities cease half an hour prior to the end of the function. Due to Sherbrooke Lodge being situated in a residential area functions must cease by 12.00mid. If extra time is required, a charge of $270.00 per half an hour applies - the bar is kept open during this time. This duration does not include ceremony time, if applicable this must be booked separately.


Entertainment Requirements

Please ensure that your entertainer has contacted Sherbrooke Lodge to make appropriate set up arrangements. This ensures they won’t be interrupting ceremonies and guest arrival. Catering is required under the entertainment act for all entertainers; a charge of $38.50 provides two courses and soft drink (No alcohol).


Food and Beverage

Sherbrooke Lodge does not permit BYO food, beverages on arrangement only. The only exception is the provision for your own wedding cake.


Responsibility

Organisers are financially responsible for any damage sustained to the fixtures, fittings, property or equipment by yourself, your guests or outside contractors prior, during or after the function.


Smoking

Sherbrooke Lodge complies with current regulations making us a non smoking venue. Smoking outside is permitted.

  


Booking Contract


Sherbrooke Lodge takes no responsibility for personal items left at the venue and during a function. It is the responsibilities of the client to pre arrange any gifts or personal belongings left at the venue after a function.

 

Sherbrooke Lodge will service your function professionally and will not accept any responsibility for extreme circumstances caused by Acts of God.

 

Sherbrooke Lodge reserves the right to evict any patron whom is causing damage to the property, abuse to other patrons/staff or any other unacceptable behaviour.

 

Under the liquor licensing laws Sherbrooke Lodge abides with the responsible service of alcohol. Sherbrooke Lodge is obligated to refuse the service of alcohol to drunk and disorderly patrons, upon refusal they will be evicted.

 

Sherbrooke Lodge holds no responsibility for equipment bought to the venue by entertainers or DJ’s. It is the responsibility of the client to ensure all entertainers are professional and aware of all arrangements. It is not the responsibility of Sherbrooke Lodge to ensure the musicians turn up on time.
